The Role
Key Role Responsibilities:
- Act as the primary point of contact for all safeguarding concerns,
disclosures, and welfare escalations across the organisation. - Respond promptly and appropriately to safeguarding disclosures, ensuring accurate recording, timely action, and effective communication with internal and external stakeholders.
- Maintain and update the Single Central Register (SCR), ensuring full compliance with safer recruitment requirements.
- Lead on the implementation and annual review of all safeguarding, Prevent, E&D, and Health & Safety policies.
- Ensure Total Training Provision remains fully compliant with Keeping Children Safe in Education (KCSIE), disseminating updates and embedding changes into practice.
- Manage all safeguarding casework, including referrals to external agencies, multi-agency meetings, and ongoing monitoring of “at risk” learners.
- Prioritise and respond to urgent safeguarding concerns, ensuring risk is mitigated and learners are supported effectively.
- Provide one‑to‑one welfare support for learners experiencing personal, emotional, or social challenges affecting their learning or employment.
- Deliver calming, grounding, and self‑care interventions as part of a structured welfare support programme.
- Coordinate drop‑in clinics for staff and learners, offering safe spaces split by:
- Male learners/staff
- Female learners/staff
- Non‑binary learners/staff
- Identify Additional Learning Needs (ALN/SEN) and create tailored support plans.
- Work with Operations and EPA teams to arrange exam dispensations and reasonable adjustments.
- Support learners with transition into apprenticeships, employment, and the world of work.
- Lead the organisation’s Prevent strategy, raising awareness of radicalisation risks and ensuring staff and learners understand how to identify and report concerns.
- Maintain and review the Prevent Risk Assessment for the business, ensuring it reflects current local and national threats.
- Liaise with external partners, including the Regional Prevent Coordinator, local safeguarding networks, and relevant community organisations.
- Coordinate and track all mandatory training, ensuring new starters complete required modules and existing staff remain up to date with re‑accreditation.
- Deliver safeguarding, Prevent, British Values, E&D, and Staying Safe Online training to staff and learners.
- Develop and maintain induction units on OneFile VLE for key safeguarding and welfare themes.
- Provide coaching and guidance to staff on managing disclosures, identifying risk, and supporting vulnerable learners.
- Contribute to the annual SAR, QIP, and reporting for governance boards
- Create and maintain Total Topics—engaging resources designed to raise awareness of safeguarding themes, prevent risks, healthy relationships, online safety, and wellbeing.
- Develop enrichment programmes that build confidence, resilience, communication skills, and self‑esteem.
- Produce learner‑facing materials that reinforce safe conduct in learning, work, and social environments.
SEN Specialist Line Management & Learning Support Funding Oversight
- Line‑manage the SEN Specialist, providing supervision, coaching, and performance management to ensure high‑quality SEND practice.
- Oversee the identification of ALN/SEN, ensuring assessments and support plans are accurate, consistent, and evidence‑based.
- Review and approve all Additional Learning Support (ALS) and Learning Support Funding (LSF) recommendations in line with ESFA funding rules.
- Ensure the full evidence chain—assessments, support plans, session logs, impact reviews—is complete, compliant, and audit‑ready.
- Monitor the accuracy and timeliness of ALS/LSF data entry, conducting regular sampling to assure quality and mitigate funding risk.
- Lead continuous improvement in SEND provision, updating processes and supporting the SEN
- Specialist to maintain strong compliance and learner‑centred practice.
Safety, Evacuation & Incident Preparedness
- Lead on emergency preparedness, including the planning and delivery of RUN / HIDE / TELL evacuation practices.
- Create and maintain safety signage and learner information materials across physical and virtual environments.
- Manage the virtual noticeboard on OneFile (announcements), ensuring learners receive up‑to‑date IAG on safeguarding, welfare, and safety.
Administrative & Reporting Duties
- Attend safeguarding meetings, quality meetings, and cross‑departmental reviews.
- Produce statistical reports on safeguarding cases, welfare trends, and training compliance.
- Maintain accurate, confidential records in line with GDPR and organisational policy.
- Undertake ongoing CPD to remain current with safeguarding legislation, Prevent updates, and best practice.

Quality & Timeliness of Safeguarding Response — Consistently responds to disclosures and escalations within required timeframes, with accurate, compliant case recording and effective risk‑mitigation decisions.
Case Management Outcomes — Demonstrates strong judgement in managing cases to safe, stable outcomes, including appropriate referrals and multi‑agency engagement.
Compliance & Regulatory Assurance:
Statutory Compliance Performance— Maintains full compliance with KCSIE, Prevent Duty, safer recruitment, and SCR requirements, evidenced through internal/external audits.
Policy & Process Leadership — Ensures safeguarding, Prevent, E&D, and H&S policies are up to date, embedded in practice, and understood by staff.
Welfare & Learner Support Impact
Effectiveness of Welfare Interventions — Provides high‑quality support that improves learner wellbeing, engagement, and progression, with measurable positive outcomes.
Support Planning & Adjustments — Ensures ALN/SEN plans and reasonable adjustments are accurate, timely, and effective in enabling learner success.
Training & Staff Capability
Training Coverage & Quality — Achieves full compliance with mandatory training and delivers high‑impact safeguarding/Prevent sessions that improve staff confidence and competence.
Coaching & Professional Support — Provides clear, reliable guidance to staff on managing disclosures, identifying risk, and supporting vulnerable learners.
Prevent Strategy & Risk Management
Quality of Safeguarding & Wellbeing Resources — Produces engaging, accurate materials (Total Topics, enrichment content, safety communications) that strengthen learner awareness and resilience.
Visibility & Accessibility of Information — Ensures safeguarding, welfare, and safety information is consistently available and up to date across physical and digital environments.
Reporting, Data Quality & Governance
Accuracy & Insight of Reporting — Produces timely, high‑quality reports that identify trends, risks, and improvement actions for governance and quality boards.
Record‑Keeping Standards — Maintains confidential, GDPR‑compliant records with high accuracy and audit readiness.
Professional Development & Leadership
CPD Engagement & Application — Actively maintains and applies up‑to‑date safeguarding, Prevent, and welfare knowledge to improve organisational practice.

- Counselling Skills Certificate

- Experience within an Independent Training Provider or FE environment
- Knowledge of OneFile or similar VLE systems

- Be able to work flexible hours and locations (within reason), if required
